Getting Started

The essentials before you connect email.

NuvoMail brings business email, customer requests, and sales opportunities into one workspace. Your team can share inboxes, assign conversations, keep customer details nearby, and plan the next follow-up.

Create your account, confirm your email, and set up a workspace. Connect your business domain and Resend account when you are ready to send and receive email, then add addresses and invite your teammates.

You can create your workspace and explore it first. Connect a domain you control when you are ready to send and receive business email.

Yes. Paid plans support multiple domains, with the number included depending on your plan. This helps teams manage several brands or business names in one workspace.

An organization is your team workspace. It brings together domains, addresses, groups, members, contacts, conversations, and the sales pipeline. You can switch between organizations you belong to.

Domains & Email Addresses

Sending, receiving, and mailbox setup.

Connect your Resend account in Email Domains and follow the domain verification steps. Choose sending only, or set up receiving records and a webhook to bring incoming mail into NuvoMail.

Yes. Connect your own Resend account to send and receive business email. NuvoMail provides the team workspace; Resend provides email delivery, with its own fees and sending limits.

Yes. You can connect Resend’s Free plan to a free or paid NuvoMail workspace. Verify your business domain and complete the email setup first. Your usage must stay within both providers’ limits. Resend counts incoming emails toward its email quota too. Upgrading NuvoMail and upgrading Resend are separate choices. See Resend’s current plans and limits.

An individual employee address, such as jane@acme.com, belongs primarily to one team member. A shared address, such as support@acme.com, can be handled by several team members with separate read and send permissions.

Yes. Mailbox access is assigned per member or group. Some people may have read access only, while others can read and send from that address.

Yes. Use NuvoMail for sending alongside your existing mailboxes. For receiving, a dedicated subdomain with its own mail-routing records lets your current mailboxes keep their existing setup. Changing the main domain’s receiving records changes where new mail is delivered, so review those records before switching.

NuvoMail organizes new messages sent or received through your connected Resend setup. Historical mailbox imports from Gmail, Google Workspace, Outlook, or Microsoft 365 are not currently supported.

In Email Domains, choose how to handle mail sent to an address you have not created: deliver it to a shared address, keep it in Unrouted for owners and admins to review, or ignore it. When delivered to a shared inbox, the original destination stays visible.

Domain verification proves that you control the domain and lets the delivery provider authenticate outgoing email. Follow the DNS instructions shown by Resend, then return to NuvoMail to finish the connection.

Yes. New outgoing attachments keep their original file format and name, including PDFs and images. Files that were converted by earlier versions remain in their existing format.

Team, Groups & Permissions

Who can access and manage what.

NuvoMail uses simple organization roles for ownership and administration, plus mailbox permissions for everyday email access. This keeps broad administrative power separate from permission to read or send from a specific address.

Groups organize members by function, such as Sales, Finance, or Support. A member may optionally join one or more groups, and shared addresses can be associated with the group responsible for them.

An owner or authorized administrator invites a member from Settings. Business email must be set up first. Invitations use the sender selected in Email Domains and your organization’s Resend account. Every invitation includes Invitation powered by NuvoMail, including paid plans.

Roles and permissions control what each teammate can view and manage. NuvoMail checks access on the server as well as in the interface, including access to organization data and shared mailboxes.

Shared Inbox & Ticketing

Ownership and follow-through for team email.

Choose automatic or manual ticket creation in your organization settings. Automatic mode tracks eligible incoming conversations; manual mode lets your team choose which conversations need ticket tracking.

A team can use practical queue states such as New, Unassigned, Open, Waiting, Resolved, and Closed. The selected status appears beside the conversation and can also be used to filter the inbox.

A ticket can have an assignee, priority, follow-up date, tags, one related project, and multiple related products or services. All of this context is optional.

Yes. Add internal notes beside the conversation to share context with teammates who have access. These notes stay within NuvoMail and are not sent to the customer.

Yes. Email templates can be created in Settings and used when composing or replying. They are useful for common answers while still allowing the sender to personalize the message.

Use Ignore to remove it from active ticket work across the team while keeping the conversation. It is not counted as resolved. You can find ignored tickets and restore them when needed.

Sales Pipeline

Opportunities, follow-ups, and handoffs.

Track opportunities for your products and services from first contact to a won or lost sale. Keep ownership, estimated value, and the next follow-up with each opportunity so your team knows what to do next.

Yes. Start with the default sales stages and rename them to match your process. The overview, opportunities, and follow-ups help your team see progress and upcoming work.

Yes. It uses the products and services managed in Settings under Help Desk, so your team works from one catalog. You can manage sales materials from the Pipeline.

Paid plans include sales-material uploads for products and services. PDFs and supported images keep their original file format and count toward your shared cloud storage.

Choose a teammate to handle delivery or service when you mark the opportunity Won. Sales progress and ticket status are tracked separately, so the team can continue supporting the customer.

Yes. Free includes up to 20 active opportunities. Won and Lost opportunities free up space for new active opportunities. Paid plans have no separate active opportunity cap and include sales-material uploads.

Open Pipeline → Reminders. Reuse a template to add customer names, email addresses, and reference dates. Review upcoming reminders, reschedule or cancel them, and prepare one customer’s email at a time. Free includes 1 active reminder template and 20 pending reminders per workspace. Paid plans include CSV import and no separate reminder cap. Existing records remain available after a downgrade. Emails are sent manually and count toward your usual sending limits.

You can rename stages to reflect how your team works. The current pipeline is designed around sales opportunities, products and services, estimated values, and won-sale handoffs. Dedicated recruitment features are not currently included.

AI Agent Connections

Read emails and prepare drafts with your chosen AI app.

Yes. Compatible AI agents can read selected mailboxes and create drafts for your review. ChatGPT connects through OAuth, so you sign in to NuvoMail and choose access without copying a NuvoMail token. Custom MCP availability depends on your AI account and workspace policy. NuvoMail does not include a built-in AI chat assistant.

Start a custom MCP connection in your AI app using https://www.nuvomail.app/api/mcp and OAuth authentication. Sign in to NuvoMail, choose your workspace and mailboxes, review the requested permissions, and set an expiry. Open Settings → Agent Connections and expand the detailed setup guide for ChatGPT, Codex, or manual-token instructions.

Yes. A workspace owner or admin must approve a member’s connection before the agent can access email or create drafts. Members cannot approve their own requests. Mailbox or permission changes require fresh approval, and the agent always remains limited by the member’s current mailbox access.

No. Agents can create drafts, but cannot send, schedule, or approve email. Open each draft in NuvoMail, review the recipients and message, and choose Send yourself. Existing mailbox manager approval rules still apply.

Choose only the mailboxes and reading or draft permissions the app needs, and set a connection expiry. Revoke access at any time in Settings → Agent Connections; this blocks the connection and its OAuth access and refresh tokens while preserving saved drafts. Email shared with your chosen AI app is handled by that provider. Keep account passwords and Resend API keys private.

Auto Replies & Retired Addresses

Keep customers informed and incoming mail moving.

Paid plans support acknowledgements for new conversations, business-closure notices, employee-away notices, and retired-address notices. Set dates, office hours, and a timezone where needed. Replies use your connected Resend account and sending allowance.

NuvoMail sends one applicable reply, in this order: retired address, employee away, business closed, then new-conversation acknowledgement. Acknowledgements apply once per conversation; other notices repeat at most once per sender and address every seven days.

On a paid plan, retire the address and choose a shared inbox for future incoming mail. The old address stays reserved, sending from it stops, and the original destination remains visible. Remove the employee from Members separately to end their workspace access. Existing routing continues if you later switch to Free.

Contacts & Customers

Keep customer details close to the conversation.

NuvoMail matches senders with existing contacts where possible. For a new sender, choose whether to link them to an existing customer, create a customer and primary contact, or dismiss the suggestion for now.

A contact can be identified as a customer, supplier or vendor, or both. Contacts can also have multiple tags, products, and projects to make filtering and search more useful.

Choose who can add contacts directly and whose additions need approval. This gives trusted teammates direct access and provides a review step for other additions.

NuvoMail supports structured contact imports designed around common contact fields, including names, multiple email addresses and phone numbers, organization details, addresses, dates, notes, and related context.

Messages from outside the organization can show an external-sender badge and an attachment safety reminder. These cues help team members pause before opening files or following links from an unknown sender.

Responsible Sending

Protecting recipients and domain reputation.

Use NuvoMail for business conversations with recipients you are authorized to contact. Purchased, rented, scraped, and other unauthorized recipient lists are prohibited.

Marketing and bulk email should include a clear way to unsubscribe, and senders must follow the laws that apply to their organization and recipients.

Delivery depends on domain authentication, sender reputation, message content, recipient consent, and provider policies. Review your DNS records, Resend events, and sending practices when investigating a problem.
